This guide covers the Availability screen, where booking rules live, and the Practice address, Website and notifications groups on Clinic settings, all of which decide how clients find and book your clinic.
1. Clinic hours
Availability opens on Clinic hours, a weekly schedule for when the clinic itself is open. This is the same weekly editor a counselor uses for their own calendar.
Whether these hours also decide when your counselors can be booked depends on who sets weekly hours, described next. When that choice is set to everyone sharing one clinic schedule, Clinic hours is also the whole clinic's booking availability. Otherwise it describes the building, and each counselor's own calendar decides when they can be booked.
2. Who sets counselor hours and booking rules
Above both Clinic hours and Availability settings sits the same choice, three ways to run your practice: one clinic setting for everyone, one setting managed for each counselor from Team, or letting each counselor manage their own.
With one setting for everyone, the Clinic hours tab edits a single weekly schedule that applies to every counselor, and Availability settings edits one set of booking rules for the whole clinic. With settings managed per counselor, each counselor is opened from Team to set their own hours and rules. With counselors deciding for themselves, every counselor manages their own hours and rules from their own calendar, and this screen shows a quiet note instead of an editor.
Availability and booking rules are set separately, so a clinic can share one weekly schedule while still letting each counselor keep their own booking notice, or the other way round.
3. Booking rules
Availability settings holds two notice windows: minimum booking notice, how close to a session's start a client can still book, and maximum advance booking, how far ahead the calendar opens. Reschedule and refunds holds one further window: how long before a session a client can still reschedule or cancel for a full refund. All three apply to new bookings only, never to sessions already booked.
The reschedule window also decides the refund policy sentence shown to clients on the booking page and their receipt, worked out automatically rather than typed in separately.
Unavailable dates, the third tab, is where the clinic closes for a whole day, a holiday for instance. On that date, nobody at the clinic can be booked, whichever of the three control choices is set.
4. Your clinic page
The page, a group on Clinic settings, shows your clinic's web address, a fixed {your-clinic}.leshya.app that can't be changed once set, so links you share keep working. Everything clients actually see on that page, name, logo, photo, about, expertise and languages, is set on the Clinic profile group instead; The page holds just the address itself.
Each counselor at your clinic also keeps their own profile page, reached through the clinic's page or directly, so a client can land on either the clinic as a whole or one counselor's own profile.
Website & email opens the visitor website for a clinic admin. Design starts on Home; Pages opens other clinic pages. Admins can edit text and images where they appear, add sections, and decide which built-in sections visitors see. Add card keeps cards together in their selected section. Gallery and Magnetic carousel present uploaded photos, with optional image descriptions. Shared header and footer links can open a page or Home section. Leshya policies remain in place, with a clinic notice as a supplement.
Drafts autosave with a visible state. Removing a card, question or section is saved with the page draft. Preview and Publish wait for queued changes before continuing. Preview opens the complete private draft website at your browser width, returns to the same page and section, and keeps booking actions disabled. Publishing changes the selected page and its navigation; unpublishing removes its public content and links while retaining the draft. If Website access expires, the editor is hidden and your saved work remains stored until access resumes.
Custom website and sender domains are coming soon and are not currently available. The setup below applies only after those capabilities are enabled.
For an eligible clinic, Website address can connect one exact hostname and show DNS and verification status. Keep the .leshya.app address as recovery. The custom host can accept sign-in only after ownership, DNS, TLS and auth setup are ready. Booking, refunds and payouts stay with Leshya.
5. Emails the clinic receives
Notifications, on Clinic settings, is where the clinic sets the reply-to address, sign-off, phone number and calendar entry name that appear on every email your clients get, so they hear one voice from the clinic rather than from each counselor separately. A live preview shows a sample reminder email exactly as these settings will render it, updating as you type.
Leaving the reply-to address empty means a client's reply goes nowhere, which is what happens if it is never set. A toggle decides whether reminder emails name the counselor a session is with, useful to turn off if clients might share an inbox or a device.
Sender domain is separate from the website domain. It shows the effective From and Reply-to addresses and DNS records for one sender hostname. It does not provide a receiving mailbox. Until verified and entitled, required client and auth email uses the displayed Leshya fallback.
