The clinic console

Clinic tools are arriving for practices on Leshya. This guide is for whoever runs the front desk, the practice manager or admin who invites counselors, keeps the clinic's details current, and manages bookings and payments for everyone who sees clients there.

1. Signing in

Most admins arrive by invitation. The clinic's creator, or another admin, sends an invite from the console, and it arrives as an email link showing "Join {clinic name}" and stating the role you've been invited as, clinic administrator or counselor.

With no Leshya account yet, create one using the exact email the invite was sent to, then return to the link. Signed in already with a different email, the page tells you so and asks you to sign in with the invited address instead. Signed in with the right email, one button, Accept invitation, finishes the join.

The link works for 14 days. If it lapses, ask the clinic to send a new one.

Once you're in, you land on the console. If you also see clients yourself at this clinic, as an owner-practitioner, the sidebar carries a Switch to counselor link that takes you to your own counselor workspace and back.

A brand-new clinic walks its creator through four setup steps, Clinic, Address, Hours, and Team, on the Clinic settings and Team screens. The rest of the console, Home included, stays open the whole time.

If the creator also sees clients themselves, Clinic, Address, and Hours come first. Once those three are saved, they're guided into their own counselor onboarding automatically, described in the counselor onboarding guide. Team, inviting counselors, and publishing the clinic page wait until they're back in the console. Nothing about setting up the clinic is lost, it's picked up again afterwards.

2. Around the console

The sidebar carries Home, Bookings, Clients, Payments, Team, Availability, and Clinic settings.

Home

Home shows a Path to going live card while any of these are still open: add your first counselor, set your booking rules, complete your clinic profile, publish your clinic page. It disappears once all four are done. Below it sit upcoming sessions, active clients, and monthly earnings across the whole clinic, plus quick actions to book for a client, preview or share the clinic page, and invite a counselor.

Bookings

Bookings is the clinic's day-to-day list: requests, confirmations, and arrivals across the clinic. Filter by status, payment, counselor, or date, and search by name. Each row shows who delivered the session and how the money arrived. A row still owed money at the desk gets a Mark paid action in its menu, and open sessions can be moved or cancelled from the same menu. Book for a client starts a new booking on someone's behalf.

Clients

Clients lists everyone your clinic has served, across every counselor, in one list rather than split by who they saw. Export CSV sits in the toolbar next to search, for the whole practice's list at once.

Payments

Payments shows totals collected, collected this month, unpaid bookings, and refunds, split into All, Desk, and Online tabs. For marking desk payments paid and recording refunds, see the clinic payments guide.

Team

Clinic settings

Clinic settings is a hub with six groups: clinic profile (name, logo, about, expertise, languages), address, the page (your public web address), payments (which payment methods you accept), notifications (the reply-to email, sign-off name, contact phone, and calendar event title your clients see), and your plan.

Your plan

Your plan shows what your clinic is on and when it renews. If you're a clinic admin, you can choose a plan here, 1, 6, or 12 months, and pay through Razorpay. Only an admin sees this, not a counselor-only member. If your plan lapses, your clinic's page and booking pause, but your console stays open, so you can still work the day sheet, and existing bookings are honoured.

Have a coupon? Type it in below the plans before you choose one. The discount is worked out when you continue, and a code that covers the full price puts your plan straight on with nothing to pay.

Started a payment and closed the tab? A Finish your payment button sits beside the plans until that payment goes through. It takes you back to the same payment page, so you're never charged twice or asked to start again. Payment links last 7 days; after that the button disappears and you can choose a plan again. Once your plan is on, every admin at your clinic gets an email and a notification saying which plan it is and the date it runs to.

3. The clinic's address is every counselor's session address

Set your clinic's address once, in Clinic settings under Address, described as where clients can find your clinic. Every counselor who sees clients here uses that same address for in-person sessions. Their own onboarding shows it already filled in and greyed out, captioned "Your clinic's address is your session address," so nobody at your clinic types or manages a separate one.
